Sync objects as you exportLast updated on 09/09/2022

Sync customers, vendors, and GL accounts as you export to QuickBooks, which helps you identify new and unmapped customers and vendors. You can then map these customers and vendors to what already exists in QuickBooks or create new records. Additionally, any pricebook item that doesn’t exist in QuickBooks and has a missing GL account can be quickly updated so it can be automatically created in QuickBooks.


Things to know

  • When you run the reconciliation tool, new and unmapped customers and vendors are also listed in the reconciliation file in the Weak and No Matches sections until the matches are saved.

  • After you sync a customer or vendor:

    • The QuickBooks record updates to match with ServiceTitan. For example, the customer name or address updates to what's in ServiceTitan.

    • The customer or vendor does not show up as new and unmapped in future exports.

  • If a ServiceTitan item matches with QuickBooks on item name and item type, it does not show up on the unmapped list when you export, even if the ServiceTitan item is missing a GL account.

  • If you sync a ServiceTitan item that exists in QuickBooks, the QuickBooks GL account mapping applies to the exported transaction. GL account changes or differences to items don’t update in QuickBooks.


Sync objects as you export

To sync customers, vendors, and GL accounts as you export to QuickBooks:

  1. Export a batch.

  2. Click the sync feed at the top right to expand it.

  3. Click Fix these issues link to sync objects that didn’t export. Note: The Fix these issues link is visible only if a customer, vendor, or item requires mapping.

    The Fix Export Issues screen opens. Note: The Fix Export Issues screen can take a few minutes to load.

  4. If you have customers that didn’t sync in QuickBooks, you can:

    • Match to an Existing QuickBooks Customer— In the Existing QuickBooks Customer column, click the Search Existing QuickBooks dropdown to find the customer in QuickBooks. Tip: You can search for a customer by name or address.

    • Create a QuickBooks Record—Toggle on Create Record to create a new customer in QuickBooks.

    Note: As you’re exporting invoices and payments, you can map service locations to a customer job in QuickBooks.

  5. When you’re done, click Continue to Vendors. Note: If you don’t map all the customers listed, a pop-up opens letting you know how many customers you didn’t map. Click Continue in the pop-up to create a record in QuickBooks for all the unmapped customers or click Match Customers to go back and match to an existing QuickBooks customer.

  6. If you have vendors that didn’t match in QuickBooks, you can:

    • Match to an Existing QuickBooks Vendor— In the Existing QuickBooks Vendors column, click the Search Existing QuickBooks dropdown to find the vendor in QuickBooks.

    • Create a QuickBooks Record—Toggle Create Record to create a new vendor in QuickBooks.

  7. When you’re done, click Continue to Items. Note: If you don’t map all the vendors listed, a pop-up opens letting you know how many vendors you didn’t map. Click Continue in the pop-up to create a record in QuickBooks for all the unmapped customers or click Match Vendors to go batch and match to an existing QuickBooks vendor.

  8. If you have items that are missing GL accounts and these items don’t exist in QuickBooks, assign GL accounts to the items to create them in QuickBooks:

    • Service Items—Add one GL account Tip: Service items usually sync to an income account.

    • Non-Inventory Items—Add two GL accounts: An income account and a cost of goods (COGs) account.

    • Inventory Items—Add three GL accounts.

  9. When you’re done, click Save & Export. The mapping is saved in ServiceTitan and used for all exports moving forward. The batch exports again with the matches you selected or created and the results show in the sync feed. Note: Mapping is only saved when you click Save & Export. All mapping is lost if you click Cancel or X at the top right of your screen as you.
