Set up the SmartAC.com Integration

As a SmartAC.com dealer, you need to complete the following steps to ensure the SmartAC.com integration setup for all accounts or locations with your ServiceTitan account.

  • Step 1: Accept the authorization form

  • Step 2: Authorize the SmartAC.com integration

  • Step 3: Map job types to business units

  • Step 4: Map job types in Marketing Integrations

Step 1: Accept the authorization form

You must review and accept the terms of the Authorization Form in ServiceTitan. With SmartAC.com integration, providers can view the Authorization Form. Note: Only administrators and owners can accept the authorization form.

To accept the authorization form:

  1. Go to the navigation bar and click Settings settings-icon

  2. In the side panel, click Integrations > Marketing Integrations.

  3. Click Configure next to the SmartAC.com integration.

  4. On the Data Agreement page that opens, read through the authorization form. When you’re finished, select that you’ve read the terms and click Agree.

Tip: Click Download PDF to download the agreement for future reference. Another way to view the agreement in the future is to click More More_icon from the SmartAC.com integration page and select View Agreement.

Step 2: Authorize the SmartAC.com integration

After you accept the Authorization Form, connect your SmartAC.com account(s) to ServiceTitan. You’re prompted to log in and permit the connection from the SmartAC.com integration page.

To authorize the SmartAC.com integration:

  1. Click Sign in with SmartAC.com.

  2. In the SmartAC.com Partner Portal login window, enter the information to log in.

  3. When you’re finished, click Continue.

  4. Go back to ServiceTitan to finish pairing. Note: After you connect your account with SmartAC.com, you will receive information from SmartAC.com about the accounts and profiles included in the integration.

  5. After your account is connected, you can assign business units (BUs) to this account:

    • If you have profiles set up with SmartAC.com, select BUs for each profile. This helps us communicate efficiently with SmartAC.com to receive and post the correct leads on your booking screen.

    • If you don’t have profiles set up or you have more than one account, select the BUs you want to associate with the account.

  6. (Optional) If you need to connect multiple SmartAC.com accounts to your ServiceTitan account, click + Add Account to add another SmartAC.com account. This will prompt you to sign in to the SmartAC.com portal again using a different set of credentials.

  7. When you’re finished, click Save. This takes you to the next step of mapping job types.

Step 3: Map job types to business units

After authorizing the SmartAC.com integration, configure the integration by setting the default job type mapping. This helps you save time when you begin using the integration. Additionally, mapping job types helps us receive and post the leads correctly for you on the booking screen and dispatch.

Under each vertical that applies to your business (HVAC, Plumbing, Electrical, and more), map your job types to ServiceTitan standard job types. Then, apply the BUs that service these job types.

After this step is completed, the integration launches and you begin receiving leads from your SmartAC.com account.

Note: You only need to do this once and the job type mapping will be leveraged for future integrations as well. If you have already completed mapping your job types to the standard job types, you will not need to do this again. For example, if you are already using the Google Local Services Integration, you don’t need to complete this step as you have already completed it.

To map job types to business units:

  1. Go to the navigation bar and click Settings settings-icon .

  2. In the side panel, click Integrations > Marketing Integrations.

  3. Click Configure next to the SmartAC.com integration. The SmartAC.com integration page opens.

  4. Click Job Types. The Job Types window opens.

  5. Click Go To Job Type Mapping to go and map job types.

  6. On the Job Type Mapping page that opens, map the Standard Job Types to your job types and business units. For more information, see Map Job Types.

  7. When you’re finished, click Save Changes.

  8. Click Return to Integration Setup. On the SmartAC.com integration page, you can find the job types and the BUs that are part of the leads integration.

  9. Review the job type mapping.

  10. When you’re finished, click Finish to complete the integration setup.

Step 4: Map job types in Marketing Integrations

To enable or disable job types configured in global Job Type Mapping:

  1. Go to the navigation bar and click Settings > Integrations > Marketing Integrations.

  2. Click Configure next to the SmartAC.com integration.

  3. On the SmartAC.com integration page, click Job Types.

  4. Select the trade you want to disable any of its standard job types and turn off the Enabled toggle if you want to disable the job type. Note: The Enabled toggle is active by default.

  5. When you’re finished, click Save. Your SmartAC.com integration is set up and ready to receive booking requests in ServiceTitan.

Note: You can disable the SmartAC.com integration temporarily by turning off the Enabled toggle.

Book a job from a SmartAC.com lead

You can book a job for a lead you received from SmartAC.com through the Calls screen:

  1. Go to the navigation bar and click Calls, then click Bookings. The Bookings window opens. Note: Depending on your account setup type the Calls tab is also called the Job Booking tab.

  2. Select the lead you want to book. Note: On the lead booking card you can view the customer’s contact information, lead submitted and scheduled dates, extra details provided by SmartAC.com, and the lead’s integration and logo.

  3. Review lead details and click Accept. Note: If the customer listed in the lead card does not automatically match with a customer in your records, this can be because the customer’s information such as address is not an exact match between ServiceTitan and SmartAC.com. To match the lead card with the existing customer in your ServiceTitan records, simply search for the customer in the lead card.

  4. (Optional) If you have an in-house Smart Home Manager or another office resource that manages all Smart Maintenance-related leads, you can instruct your CSRs to route leads from SmartAC.com to the Follow Ups tab for further review. To do this see Use customer leads. Tip: Reach out to the customer. SmartAC.com leads are system-generated alerts and not bookings. It is considered best practice to use the lead as an opportunity to reach out to the customer, let them know you were alerted of an issue, and convert the lead to a job.

  5. Enter job details to complete booking the job. Note: The marketing campaign “SmartAC.com” is selected by default.
