While on a job, you can service pieces of equipment with materials or tasks in your pricebook. For example, technicians can replace an air filter with a material in your pricebook, and then install the air filter with a task in your pricebook. Once added, both materials and tasks are added to the job’s invoice and to its audit trail.
Things to know
You can only service equipment with a service or material if the customer has existing equipment on file. For more on adding existing equipment, see Add equipment without invoicing the customer.
Tasks or materials used to service equipment come from your pricebook. For more on adding tasks and materials to your pricebook, see Add and edit pricebook items.
You can see which piece of equipment a task or material serviced by tapping on it from INVOICE. The linked equipment is listed at the bottom.
Service equipment with a task
If you’re not there already, go to the job.
Tap HISTORY > Existing Equipment, and tap the piece of existing equipment you want to service.
Tip: Tap ADD EQUIPMENT to add a piece of equipment that’s already at the customer location.
Tap More
and tap Mark as Serviced using a Task.
Your Pricebook opens. Tap the appropriate category or search for the task you want to service the equipment with. Once you find it, tap the Plus icon.
The task is added to the job’s invoice, and the invoice item shows you which piece of equipment the task serviced.
Finish the job as normal.
Service equipment with a material
If you’re not there already, go to the job.
Tap HISTORY > Existing Equipment, and tap the piece of existing equipment you want to service.
Tip: Tap ADD EQUIPMENT to add a piece of equipment that’s already at the customer location.
Tap More
and tap Mark as Serviced using a Material.
You see a list of materials that are linked in your pricebook to the equipment. Tap the material you want to service the equipment with, or use Search to find it.
Select whether to charge for the material and if it’s an add-on item, and then tap ADD TO INVOICE.
The material is added to the job’s invoice, and the invoice item shows you which piece of equipment the material serviced.
Finish the job as normal.
Set an invoice item as servicing a piece of equipment
You can also indicate that an invoice item was used to service a specific piece of equipment after adding the item to the job’s invoice.
If you’re not already, go to the job and tap INVOICE.
Tap the invoice item, and then tap Select Equipment to Service. Service Equipment opens. Note: You can also add a new invoice item by tapping Add items.
Select the piece of equipment the pricebook item serviced then tap SAVE.
The invoice item now shows you the equipment it serviced at the bottom of the screen.
