Identify and serialize inventoryLast updated on 09/13/2022

When serialized inventory configuration is enabled, you can identify items in your pricebook that you want to track with serial numbers. You can serialize items individually or in bulk.


Things to know

  • Requirements for serialized inventory:

    • Inventory tracking and serialized inventory need to be enabled in Settings before you can serialize items. For more information on how to enable serialized inventory, see Get started with Serialized Inventory.

    • If you want to upload a spreadsheet of items and serialize items in bulk, the bulk upload option in Settings needs to be enabled. For more information on how to enable the bulk upload option, see Get started with Serialized Inventory.

    • The quantity available at a location can’t be negative when applying serial numbers to an item. Create the necessary inventory adjustments to make the quantity of the item non-negative.

    • Items being serialized need to be new or already in the pricebook.

  • You can serialize any new equipment or material added to your pricebook:

  • Serial numbers are not exported to your accounting system as they are tracked  in ServiceTitan.


Serialize items in your pricebook individually

  1. Go to the navigation bar and click Pricebook image7.

  2. From the side menu, select Materials or Equipment. For example, select Equipment.

  3. Select the item you want to serialize.

  4. From the Actions dropdown field, select View/Edit Equipment. The Edit Equipment page opens.

  5. Click the Inventory Settings tab.

    Note: If inventory tracking is not turned on for the item, see Enable inventory tracking for equipment and material and complete those steps.

  6. Click the Serial Number Tracking card.

  7. On the Serial Number Tracking page that opens, you can do one of the following for serializing items:

    • Option 1—Use a template to upload all serial numbers: Note: The Use a template to upload all serial numbers option allows you to enter serial numbers in bulk for an item that can be found in multiple locations.

      1. From the Import dropdown field, select Download a template. The template downloads to your device. Note: If you don’t see the Import dropdown field, enable the Show bulk select upload option in Pricebook option in Settings.

      2. Open the Excel file and enter the serial numbers in the Serial Number column. Note: If you enter the same serial number for more than one item on hand, you won’t be able to save and serialize the items. Each serialized item in your pricebook should have a unique serial number to enable the accurate tracking of the item.

      3. When you’re finished entering the serial numbers, save the file to your device.

      4. Go back to ServiceTitan.

      5. On the Serial Number Tracking page, from the Import dropdown field, select Upload a template.

      6. Select the Excel file where you entered and saved the serial numbers.

      7. Click Activate Serial Number Tracking.

        The Open Transactions page opens which lists all open transactions that are associated with the item and how serial number tracking impacts that item.

    • Option 2—Add serial numbers individually on the Serial Number Tracking page:

      1. On the Serial Number Tracking page, click Enter Serial Numbers.

      2. On the pop-up window that opens, enter the serial numbers for that item in this inventory location.

        Note: If you enter a serial number that already exists, you won’t be able to save and serialize the items. Each serialized item in your pricebook should have a unique serial number to enable the accurate tracking of the item.

      3. Click Save.

      4. If there is no quantity available for an item, go to the next step.

      5. On the Serial Number Tracking page that opens, click Activate Serial Number Tracking.

        The Open Transactions page opens which lists all open transactions that are associated with the item and how serial number tracking impacts that item.


Serialize items from your pricebook in bulk

Step 1: Download the information

  1. Go to the navigation bar and click Pricebook image7.

  2. From the side menu, click Start Setup.

  3. On the Bulk Serialization page that opens, click Download the template.

An Excel file named Serialized Inventory Identification downloads to your device where you can identify items to serialize.

Step 2: Change the data

  1. Open the Excel file where you can see a list of all your pricebook items. Note: Don’t make any edits to the Item Code or Description columns.

  2. In the Serialized column, enter 1 to serialize an item. Leave 0 if you don’t want to serialize an item.

  3. Save the template to your device and go back to ServiceTitan.

Step 3: Upload and finalize the data

  1. On the Bulk Serialization page, click Upload a Template and select the Excel file that you saved.

  2. After the file is uploaded, click Continue. Your changes are validated. Tip: Click the Download image6 icon to make any changes to the file you uploaded. Click the Delete delete-trash.png icon to delete it.

    Note: If an item you want to serialize has a quantity of zero at the inventory location, you don’t need to enter serial numbers for it. In this case, after you click Continue, serial number tracking is activated for all items identified for serialization.

  3. Click template.

    An Excel file named Bulk Serialization downloads to your device where you can add serial numbers to your items. Open the Excel file. In the template, you can see a list of all your pricebook items that you identified to serialize in the Serialized Inventory Identification file. Note: If an item you want to serialize has a quantity of zero at an inventory location, you won't see that item in the list.

  4. In the Serial Number column, enter a serial number for each row.

  5. Save the template to your device and go back to ServiceTitan.

  6. On the Bulk Serialization page, click Upload a Template and select the Excel file that you saved.

  7. When you’re finished, click Finish.

The serial numbers now apply to all items at each inventory location and serialized tracking is now active for all of those items.
