Set up QuickBooks Desktop sales taxLast updated on 02/28/2023

Before you apply sales tax to your transactions and export them to QuickBooks Desktop (QBD), make sure ServiceTitan and QuickBooks are set up for sales tax tracking. You can map tax zones to QuickBooks sales tax rates to automate sales tax tracking when you export transactions.


Set up sales tax in QuickBooks

  • Before you begin mapping sales tax items to ServiceTitan tax zones, set up sales tax in QBD.

  • Create "ServiceTitan Sales Tax" as a service item in QBD:

    • QBD does not create the ServiceTitan Sales Tax service item automatically. You need to create this service item manually in QBD.

    • Add the ServiceTitan Sales Tax service item to ServiceTitan tax zones so that it is included as an item in exported invoices which displays the tax amount that ServiceTitan calculated. This helps you validate tax calculations in ServiceTitan with QBD.


Set up tax zones in ServiceTitan

Before exporting transactions to QBD, set up your tax zones in ServiceTitan:

  1. Go to the navigation bar and click Settingsicon-settings.png.

  2. In the side panel, click Invoicing > Tax Zones.

  3. Click Add Tax Zone. The Edit Tax Zone screen opens. Note: To update an existing tax zone, click the Pencil icon next to the tax zone.

  4. Enter tax zone details:

    • Color—Select a color for the tax zone.

    • Name—Name of the tax zone.

    • Tax Rate—Percentage tax rate you want to apply to the tax zone. Note: Make sure that the tax rate for the tax zone is equal to the corresponding QBD tax item.

    • Sales Tax Item—The name of the item that appears on QBD invoices that was exported from ServiceTitan, which should be ServiceTitan Sales Tax. Note: The Sales Tax Item does not affect the invoice total in QBD but does show the ServiceTitan calculated tax amount in the item description. This helps you validate that both systems calculated the same tax amount on the invoice.

    • ZipCodes—ZIP codes where the tax zone applies.

  5. When you’re done, click Save.

You can now begin mapping ServiceTitan tax zones to QuickBooks Desktop tax rates.
