Replenish items with purchase ordersLast updated on 09/13/2022

Use replenishment to keep all of your items stocked and ready to go for each location when needed. Keeping trucks and warehouses replenished at all times helps maintain service level agreements for jobs by having items available at all times. You can restock trucks and warehouses for stock items that are consumed on the job and need to be replenished.


Things to know

  • In the Purchasing Module, items with the same ship to location, inventory location, item code, vendor part number, and item description are grouped under one line item on a PO invoice. In the Inventory Module, there is only one record because the records are based on the assigned inventory template.

  • When you create purchase orders (POs) from the Replenishment page to replenish items, you have the option to group the items to create an optimum number of POs. You can group the items by Vendor and Warehouse, Vendor and Location, or Vendor and Location and Job. Use grouping to create an optimum number of POs to help you manage replenishment. Also, when you group POs, you can send one PO to the vendor instead of sending multiple POs to vendors.

    Note: You can group replenishment if you are using the Purchasing module.

  • When you create a replenishment purchase order (PO) for a truck, the business unit (BU) on the PO is set to the BU of the technician assigned to this truck.

  • If you don’t have enough stock items in your warehouse to replenish your trucks, create POs to replenish your trucks for the required stock items.


Create a replenishment purchase order

If you are using both Inventory and Purchasing modules:

  1. Go to the navigation bar and click Inventory Inventory-icon.

  2. From the side menu, select Replenishment. The Replenishment page opens.

  3. Click the Truck or Warehouse tab, and select the replenishment record for the purchase order you want to create. Tips:

    • Use the filters on the left side to quickly find specific replenishment records. The Replenishment page includes a number of pre-made filters. These let you search by Inventory Locations, Date From, Date To, Replenishment Source, Item Type, Min Cost, or Max Cost. To apply a filter, from the filter dropdown, select the filter type you want. To remove the filter, click Clear Filters.

    • Click the Arrow arrow icon blue icon to see more details about the item.

      Note: You can create and send POs in bulk by selecting multiple replenishment records.

  4. To create a replenishment PO for the selected items, click Create. The Create Transactions pop-up window opens and displays the number of POs that will be created.

  5. Click Create to complete the replenishment PO. To create and send the PO:

  6. From the Arrow dropdown field, select Create and Send.

    The Send Purchase Orders pop-up window opens.

  7. From the Format dropdown field, select a format to send to the vendor, for example, Email PDF.

  8. Click Next.

  9. From the Vendor Recipient dropdown field, select the vendor recipient you want.

  10. From the Internal Recipient dropdown field, select the internal recipient.

  11. When you’re done, click Send.

If you are using only Purchasing Module:

  1. Go to the navigation bar and click Purchasing Inventory-icon.

  2. From the side menu, select Replenishment. The Replenishment page opens.

  3. Select the replenishment record for the purchase order you want to create. Note: You can create and send POs in bulk by selecting multiple replenishment records.

  4. Click Create Purchase Order.

The PO is created. To cancel the created PO, click Undo. To see details about the created PO, click View Result.

To create and send the PO, select Create and Send Purchase Order from the Arrow dropdown field. The Send Purchase Orders pop-up opens. Repeat the steps from 7 to 11.

Note: You can update the replenishment source if you are using the Inventory module.


Delete a replenishment

Note: This only applies if the Purchasing module is on and the Inventory module is off.

  1. Go to the navigation bar and click Purchasing Inventory-icon.

  2. From the side menu, select Replenishment. The Replenishment page opens.

  3. Select the replenishment record you want to delete.

  4. Click Delete.

  5. On the Confirmation pop-up message that opens, click Yes to confirm.
