Set Pricebook permissionsLast updated on 03/31/2022

You can control who can view and edit your pricebook through individual permissions so you can protect potentially sensitive pricebook details.


Things to know

  • By default, Pricebook permissions are assigned based on employee role. As an administrator, you can edit permissions for individual employees or technicians.

  • You can set permissions for an employee or technician role by going to Settings > Operations > Permissions.

  • Without the View Pricebook permission, Pricebook does not appear in an employee’s navigation bar and they cannot access URLs that link to your pricebook.


Set office employee permissions

To change an individual employee’s permissions, edit their employee record:

  1. Go to the navigation bar and click Settings settings.png.

  2. In the side panel, go to People > Employees.

  3. Click Edit for the employee whose permissions you want to set.

  4. In the Edit Employee record, click Permissions.

  5. Select or deselect Pricebook-related permissions:

    • Edit service—Can create, edit, and deactivate service items

    • Edit material—Can create, edit, and deactivate material items

    • Edit equipment—Can create, edit, and deactivate equipment items

    • Edit category—Can create, edit, and deactivate categories and subcategories

    • View pricebook—Can access Pricebook and view items

    • Edit discounts and fees—Edit discounts and fees set for Pricebook items

    • Modify equipment cost—Edit the cost of equipment items on invoices

    • View and edit markup rules—View or update markup table rules

  6. Select or deselect additional Pricebook-related permissions not found in the Pricebook section: Tip: Use the Search field to locate these permissions.

    • Edit invoice Item—Can add and edit pricebook items on invoices and estimates Note: Employees cannot edit prices on invoices and estimates without this permission enabled.

    • Import/export Data—Can import and export files, including Pricebook .XLSX files and reports Note: If an employee has this permission and doesn’t have Pricebook edit permissions, they still can import pricebook items.

    • Edit service Price—Can change service item prices on invoices and estimates

    • Edit material Price—Can change material item prices on invoices and estimates

    • Edit equipment Price—Can change equipment item prices on invoices and estimates

  7. When you're done, click Save Changes.


Set technician permissions

You can control how technicians can change prices on invoices and estimates. For example, you might want to give an equipment sales technician the flexibility to change equipment prices but not membership and other service prices. To change an individual technician’s permissions, edit their technician record:

  1. Go to the navigation bar and click Settings settings.png.

  2. In the side panel, go to People >Technician.

  3. Find the technician you want to set permissions for and click Edit.

  4. In the Edit Technician record, click Permissions.

  5. Select or deselect Pricebook-related permissions:

    • Mobile add on checkbox—Can add on Pricebook prices

    • View Item Prices—Allows technicians to:

      • View prices of individual pricebook items

      • View invoice and estimate totals

      • Email and print invoices

      • Collect payment

      • Note: If a pricebook item is assigned to a business unit where Don’t show technician item prices is selected in the business unit settings, technicians cannot view the item price, regardless of this permission setting.

  6. Select or deselect additional Pricebook-related permissions not found in the Pricebook section:

    • Edit service price—Can change service item prices on invoices and estimates

    • Edit equipment price—Can change equipment item prices on invoices and estimates

    • Edit material price—Can change material item prices on invoices and estimates

  7. When you’re done, click Save Changes.
