Set up and manage pricebook categories and subcategoriesLast updated on 02/17/2023

Use categories and subcategories to organize your pricebook. Set up categories and assign them to pricebook items so technicians can easily navigate your pricebook in ServiceTitan Mobile. This way they can focus on working jobs and customer service.


Things to know

  • Service and equipment are not visible in ServiceTitan Mobile unless they're assigned to a category or subcategory. Materials don’t need to be assigned to a category or subcategory to be visible in ServiceTitan Mobile.

  • You can hide a category or subcategory from view in ServiceTitan Mobile, which can be useful while updating your pricebook so technicians don’t add unconfigured items on jobs. This also lets you set up pricebook categories for office use only, such as deferred revenue tasks or manager discounts.

  • Set up your categories and subcategories in ServiceTitan and then use bulk editing to assign categories and subcategories to services and equipment in your pricebook. For more information, see Bulk edit pricebook items.

  • The Pricebook Categories screen has a drag-and-drop interface and an in-line editing tool to make category management intuitive and efficient.

  • Add images to your categories and subcategories to make your pricebook look complete. If you don’t have a unique image for every item in your pricebook, you can upload a default image to use for all items in that category or subcategory to make your pricebook look more complete and customer-friendly.   • Make estimate building quicker by enabling access to pricebook categories by business unit and by individual technician. This way, technicians only have to navigate through the categories that are relevant to them. Set technician permissions under Settings > People > Technicians to:

    • Assign a Business Unit (BU) to a technician. One or more BUs can be assigned to a category or subcategory. Technicians assigned to those BUs or working on a job assigned to those BUs can view only the pricebook items assigned to that category or subcategory.

    • Assign one or more Pricebook Categories to a technician. This allows the technician to view pricebook items assigned to those categories. Account configuration is required to use this feature. Contact your Technical Support for details.

Permissions example: Adam is assigned to BU Plumbing. Category 1 has only BU Sales assigned so Adam cannot view the pricebook items assigned to Category 1. Even if Category 1 is added to Adam in Technician Settings, the category will continue to remain hidden.

Add a category

You can add categories for services and equipment in your pricebook. You can also include images to help technicians quickly identify them.

Note: To create categories for materials, account configuration is required. Contact your Technical Support for details.

To add a category:

  1. Go to the navigation bar and click Pricebook

  2. In the side menu, click Categories. The Categories screen opens.

    Note: Click Mobile View to preview how items appear in ServiceTitan Mobile. In Mobile Review, an Info icon displays on categories with descriptions. Click the icon to open a description popup.

  3. Click Add Category. A category field displays.

  4. Enter the name of the category. Click Check check-inline to save it.

After you added a category, you can:


Add a subcategory

You can add a subcategory to a category or add it to another subcategory.

  1. From the Categories screen, browse the list or use the search field to find the category you want to add a subcategory to. Tip: Click Filters to open the Filters screen. You can filter category items based on business units and other details. After setting the filters, click Apply.

  2. At the end of a category row, click More Actions more-actionand select Add Sub-Category. A subcategory field displays.

  3. Enter the name of the subcategory. Click Check icon-check.png to save it.

Edit additional category details

You can add and edit additional category details.

  1. At the end row of the category or subcategory you want to edit, click More Actions more-actionand select Edit Additional Details. The additional details screen opens.

  2. Make necessary edits:

  • On the details screen, in the Description field enter detailsthat technicians can see in ServiceTitan Mobile.

  • For Default Media for Subcategory Items, add default images and videos for all pricebook items assigned to this category that don’t have images or videos.

  • For Default Recommendations, click the Services dropdown to select service recommendations to display in ServiceTitan Mobile. When a technician adds an item within the category to an estimate or invoice, the recommendations appear in a pop-up. Tip: Use the search field to find a service by name or description.

    Note: A category’s recommendations only display items that do not already have recommendations.

  • To deactivate the category, click Deactivate. Confirm the action in the pop-up notification. For more information, see Deactivate a category or subcategory.

3. When you’re finished, click Save.


Edit a category or subcategory

Use inline editing to edit some of the category information while remaining on the screen. You can also access a details panel to add or edit additional details, such as a category description. For more information, see Move a category or subcategory, Duplicate a category or subcategory, or Deactivate a category or subcategory.

To edit a category or subcategory:

  1. Go to the navigation bar and click Pricebook.

  2. In the side menu, click Categories. The Categories screen opens.

    Note: Click Mobile View to preview how items appear in ServiceTitan Mobile. In Mobile Review, an Info icon-info.png icon displays on categories with descriptions. Click the icon to open a description popup. Tip: The number following a name indicates the number of subcategories. Expand a category or subcategory to view the nested items.

  3. Browse the list or use the search field to find the name of the category or subcategory you want to edit.

  4. Use inline editing to edit a category or subcategory:

  5. Category: Click the field to change the name. Click Check icon-check.png to save it.

  6. Business Units: Click the field to open a list of BUs. Use the search field if needed. Select one or more BUs. Click Check icon-check.png to save it.

  7. Hide in Mobile: Click the field to add a check mark icon-check.png to hide the category in ServiceTitan Mobile. Click the field again to clear the checkmark.

  8. Image: Click the image field.

    The Edit Photo screen opens. Upload an image or delete it.

Move a category or subcategory

The Categories screen allows easy drag-and-drop reordering and moving of pricebook categories and subcategories.

  1. To move an item to the top or bottom of a category list:

    1. At the end of a category or subcategory row, click Move icon-move.png.

    2. Click Top or Bottom.

  2. To move an item to a different category or subcategory:

    • At the end of a category or subcategory row, click Move icon-move.png.

    • Click Choose Category. Select the category or subcategory and click Move. Use the search field if needed.

  3. To drag and drop an item:

    1. Hover over an item.

    2. Press Drag icon-drag.png and move it to the desired location, such as another category or subcategory. You can move a subcategory out to a top-level category.


Duplicate a category or subcategory

  1. On the Categories screen, locate the item you want to duplicate. For more information, see Edit a category or subcategory.

  2. At the end of a category or subcategory row, click More Actions more-actionand select Duplicate.

    Tip: Right-click on a category or subcategory row to access the same dropdown menu.


Deactivate a category or subcategory

If you deactivate a category or subcategory, it removes the item from the mobile app along with any subcategories.

Note: Items are not typically deleted in ServiceTitan for historical reporting purposes. Deactivating a category or subcategory does not affect your historical records.

To deactivate a category or subcategory:

  1. On the Categories screen, locate the item you want to deactivate. For more information, see Edit a category or subcategory. Note: By default, the Categories screen shows all active categories. Click Filters to filter the Status by Inactive or All.

  2. At the end of a category or subcategory row, click More Actions more-actionand select Deactivate.

Tip: Right-click on a category or subcategory row to access the same dropdown menu.

4. Confirm the action in the pop-up notification.
