Integrate your phones during onboardingLast updated on 03/22/2022

Integrate your phones with ServiceTitan to automatically track and record each incoming phone call.

If the ServiceTitan Telecom team was informed that you want to integrate your phones with ServiceTitan, you’ll see an Integrate your phones task on the Onboarding Dashboard. The task leads you through a series of steps for completing your phone integration.

Note: Before onboarding, make sure to set up a phone integration method—Double-Forward or Porting to ServiceTitan. The task on your Onboarding Dashboard is set up for the integration method that you chose.

After setting up phone integration, every incoming call to your office is automatically tracked and recorded, pulling up customer details and linking calls to booked jobs. All of your advertised numbers, regardless of where or how they are advertised, become tracking numbers in ServiceTitan.


Things to know

  • The Integrate your phones task can be accessed only during ServiceTitan onboarding.

  • You need to have your forward-to phone numbers before starting this task, which are the unadvertised numbers that incoming customer calls are forwarded to. You can have multiple forward-to numbers or just one. Reach out to port@servicetitan.com if you have any questions about forward-to phone numbers.


Get started on the Onboarding Dashboard

Complete the Integrate your phones task from the Onboarding Dashboard.

To get started:

  1. From the Onboarding Dashboard, click Integrate your phones and then click Get Started.

    The Set up your phone integration screen opens with Step 1.

  2. Do one of the following:

    1. If you’re using double forwarding to integrate your phones, go to Set up phone integration with double forwarding in the next section.

    2. If you’re porting your phones to ServiceTitan, go to Port your phone numbers to ServiceTitan.


Set up phone integration with double forwarding

Setting up double forwarding allows inbound calls to go from your phone provider to ServiceTitan. ServiceTitan then captures the information needed for tracking and forwards calls to your phone provider.

Follow the series of steps to set up phone integration with double forwarding. When you’re done with a step, click Next to continue.

The selection you make on this screen for the number of phone numbers used in your ads determines the next series of steps:

Enter your phone numbers manually

Follow the steps to enter your phone numbers manually if you use 25 or fewer.

Step 2 - Forward-to Phone Numbers

Step 3 - Advertised Phone Numbers

If you use more than 25 phone numbers, follow the steps to upload them.

Step 1 - Your Numbers (with Upload Phone Numbers link)

When you click Upload Phone Numbers, follow the series of steps in the Upload Phone Numbers pop-up.

Port your phone numbers to ServiceTitan

When you port your numbers to ServiceTitan, inbound calls hit ServiceTitan first before being single forwarded to your phone provider.

Follow the series of steps to set up phone integration with porting. When you’re done with a step, click Next to continue.

Step 1 - Your Information

The selection you make on this screen for the number of phone numbers you want to port determines the next series of steps:

Port less than 25 numbers

Follow the steps to enter your phone numbers manually if you use less than 25.

Step 2 - Forward-to Phone Numbers

Step 3 - Phone Numbers to Port

Port more than 25 numbers

Follow the steps to enter your phone numbers manually if you use more than 25.

Step 1a - Upload Phone Numbers

When you click Upload Phone Numbers, follow the series of steps in the Upload Phone Numbers pop-up.

Upon completion of the phone integration, a letter of authorization is emailed to you.
