Create and edit inventory templatesLast updated on 09/13/2022
Your template is your stock list and contains a list of inventory items along with a defined minimum and maximum quantity for each item. This allows you to automatically trigger inventory replenishment in ServiceTitan based on consumption on job invoices. You can create templates to keep track of inventory that needs to be in each truck or warehouse. You can use the same template for multiple trucks or warehouses.
There are two ways to create and edit your stock list template: You can use the XLS template spreadsheet if you are creating a stock list of more than 10 items, or you can create one on the Templates page.
Things to know
If you edit a template, you will see a message on the Templates page that reads Updating inventory template [Template name] is in progress. This means that changes are being applied to the inventory locations that are tied to that template. Then, you will see a message on the Templates page that reads Inventory template [Template name] successfully updated.
If you toggle an inventory item as inactive, that item will no longer appear on any active inventory templates or replenishment requests. This way, when you deactivate an item you won’t have to go back and search through any templates or replenishment requests for any deactivated item to remove them.
Create a template in an XLS spreadsheet
Go to the navigation bar and click Settings
.
From the side menu, select Inventory > Templates.
On the Templates page that opens, click Add.
Click Download stock list template.
The Stock List Template downloads to your device.
Open the template in Excel, enable editing, and enter the following details for each inventory item.
Item Code—This should match the code for that item in your pricebook. Item codes must be tracked as inventory in the Pricebook.
Item Description—This will contain the current Item Description for any existing items within the template, to aid in identifying the specific items being modified. When uploading the completed template back into ServiceTitan, this column will be ignored and will not modify the Item Description for the item.
Min—This is the reorder point for an inventory item. If the total of the available quantity and the quantity on order for an item is below the minimum amount, a replenishment is generated in the Replenishment tab to bring the quantity up to the maximum. For more information, see Replenish items using transfers and Replenish items with purchase orders.
Max—This is the maximum stock the location is allowed to carry for that item.
Memo—This is the memo field for that item. This field does not appear if bin tracking is enabled.
Bin Location—If you set up bin tracking, enter the bin location for that item. This field does not appear if bin tracking is disabled.
When you’re finished entering item details, save the spreadsheet.
In the Template Details section:
In the Template Name field, enter your template name.
(Optional) From the Template Type dropdown field, select Warehouse or Truck.
(Optional) From the Assigned Inventory Locations dropdown field, select the location where you want your template to be assigned. Note: You can select multiple locations for one template.
Click Import stock list and follow the prompts to upload the saved spreadsheet. Note: The Import stock list button is available only after you enter a Template Name.
When you're finished, click Save.
Create a template in ServiceTitan
You can create a template without importing or exporting the Stock List Template XLSX file. To create a template in ServiceTitan:
Go to the navigation bar and click Settings .
From the side menu, select Inventory > Templates.
On the Templates page that opens, click Add.
Go to the Templates Details section.
In the Template Name field, enter your template name.
(Optional) From the Template Type dropdown field, select Warehouse or Truck.
(Optional) From the Assigned Inventory Locations dropdown field, select the location where you want your template to be assigned. Note: You can select multiple locations for one template.
Click + Add Item.
Under the Item Code column, select the item you want from the dropdown field. Note: You can search for the item by its name, code, description, or part number.
Repeat the steps from 8 to 9 to add more items to the template. Note: To delete an item, select the item you want to delete and click Delete.
When you’re finished, click Save.
On the Confirmation pop-up message that opens, click Apply.
Edit a template
Go to the navigation bar and click Settings .
From the side menu, select Inventory > Templates.
Select the template you want to edit, and click Edit. The template record opens.
Make the changes you want.
When you’re finished, click Save.
On the Confirmation pop-up message that opens, click Apply.
