Import existing PTO balancesLast updated on 03/23/2022

You can import your employees existing PTO balances to ServiceTitan to manage all your PTO in one place.


Things to know

  • When you download the Balance Import Template spreadsheet, it will contain your employee information, but will not contain the balances for your PTO timesheet codes. You must fill out that information on the spreadsheet from where you are currently tracking your PTO balances.

  • The spreadsheet must be saved as a .csv file. 

  • You can audit the PTO balances you import to ensure accuracy. See View, adjust, and audit PTO balances for more information.


Import your existing PTO balances

  1. Go to the navigation bar and click Settings settings.png. In the side panel, go to People > Payroll. Payroll Settings opens.

  2. In the Time Off Management section, click on Upload next to Import Employee Time Off Balances.

  3. If you have never imported your employee time off balances: 

    1. Click Download Template.

      This downloads the BalanceImportTemplate.csv file to your computer. This spreadsheet contains a list of all employees at your company and their employee ID.

    2. At the top of the spreadsheet, there will be a column for each PTO Timesheet Code you have to set up. Fill out the balance for these codes for each of your employees.

  4. When you have finished entering your employee PTO balances, save the spreadsheet as a .csv file to your computer. 

  5. On the Payroll Settings screen in the Time Off Management section, click Upload next to Import Employee Time Off Balances.

  6. Click Upload to upload the spreadsheet.

    Once the file is uploaded, your employee balances will automatically update to the amount you entered on the spreadsheet.
