Configure the Dispatch BoardLast updated on 04/19/2023
Dispatch Configuration allows you to personalize your view of the Dispatch Board so you can work quickly and effectively. You can manage technicians, change the appearance of the Dispatch Board and Job Tray, manage notifications, configure Optimize Technician Route, and customize how technician hours are displayed.
Things to know
Checking technicians in or out of the Dispatch Board is not the same as technician clock in/out. When you check a technician in or out of the Dispatch Board, this changes which ones show up on the board for you but will have no impact on technician timesheets. You can clock in/out technicians from the Dispatch Board, not in Dispatch Configuration.
You can customize your own individual view of the Dispatch Board using these settings. Settings are unique to individual users and do not affect other users’ settings.
There are three options for your location view on the Dispatch Board.
Street view works for businesses that operate within a smaller geographic area, where you want to see the most detailed information possible.
City view works if your business operates in different cities and you need a general overview of where work is being performed.
Zip view is a good fit if you work in a dense geographic area and zip codes are more helpful than specific street addresses or cities.
The default number of jobs that show up in each of the columns in the Job Tray is 50. The maximum number of jobs you can set to show up in the Job Tray columns is 250.
Manage technicians
Go to the navigation bar and click Dispatch
.
Click the Settings icon in the upper right corner of the Dispatch Board. Dispatch Configuration opens.
The default tab is Technician Management. From here, manage which technicians show up for you on the Dispatch Board by checking them in or out.
Use the business unit filter if you would like to customize which technicians show up on this list in Dispatch Configuration.
You can also add notes for each technician. These memos show up for all users of the Dispatch Board, not just for you.
Note: The business unit selector for Technician Management under Dispatch Configuration does not affect any other business unit settings.
When you're finished, click Apply Changes.
Change board appearance
Go to the navigation bar and click Dispatch
.
Click the Settings icon in the upper right corner of the Dispatch Board. Dispatch Configuration opens.
In the side panel, click Board Appearance.
Set which business units show up by default on your view of the board, your location view, technician clock-in time, the visibility of the SMS message sidebar, and if you want to see and use the Job Details flyout after clicking an appointment on the Dispatch Board. You can also decide which columns show up in the Job Tray as well as the number of jobs that show up in each column of the Job Tray.
When you're finished, click Apply Changes.
Manage notifications
Go to the navigation bar and click Dispatch
.
Click the Settings icon in the upper right corner of the Dispatch Board. Dispatch Configuration opens.
In the side panel, click Notifications.
Select Yes or No to enable or disable desktop notifications.
Select the types of notifications you want to see in your queue.
When you're finished, click Apply Changes.
Configure Optimize Technician Route
If you use Optimize Technician Route, you can configure settings for it through Dispatch Configuration. For more, see Use Optimize Technician Route.
Customize how technician hours are displayed
If you use technician clock in/clock out, you can set up your Dispatch Board so that only paid timesheet codes, like jobs and paid non-job events, count towards the on-clock readout for a technician. Turn on this setting to make it easier to avoid paying technicians overtime:
Go to the navigation bar and click Settings .
In the side panel, click Dispatch Board > Clock In/Out.
Turn on the toggle for Subtract unpaid hours from the technician on-clock time readout.
Click Save.
Note: Idle time (when a technician has no jobs or non-job events) and non-paid timesheet codes are not counted when this setting is turned on.
