Deduct commute time from paid drive hoursLast updated on 05/10/2023
Depending on your company policy or state payroll regulations, you can deduct a technician's commute time from their drive home or other paid hours.
Enter a technician’s commute time
If you need to deduct a technician’s commute time from their first or last drive, make sure to enter their commute time in the technician's profile.
Go to the navigation bar and click Settings
.
In the side panel, go to People > Technicians. Technicians opens.
Click the Edit for the technician whose commute time you want to enter.
On the Payroll tab in the Hourly Pay section, in the Commute Time (minutes) field, enter the technician's one-way commute time in minutes. For example, if the technician has an hour and a half commute one-way, enter 90.
When you're finished, click Save.
Deduct commute time from the technician's first drive
In technician profiles at Settings > People > Technicians > Payroll in the Hourly Pay section, you see First Drive Setting. This setting allows you to control whether the technician is paid for the drive of the day. This is the time from their first dispatch to arrival at the first job site.
Select Deduct commute time from first drive to deduct the technician's commute time from any paid hours accrued. This means that you only pay for the technician's first drive time if the first drive has exceeded the technician's normal commute time to work.
Deduct commute time from drive home
You can set up a timesheet code for the technician's drive home. Select Deduct commute time from first drive to only pay for drive time in excess of the technician’s normal commute time to work.
Go to Settings > People > Payroll > Timesheet Codes to create a Drive Home timesheet code. Make sure to select Deduct commute time from first drive.
Set up timesheet codes where commute time is deducted
You can set up any kind of timesheet code to deduct the technician's commute time.
For example, you can create a timesheet code for Morning parts run to be used if a technician does a parts run as the first duty of the day. You can deduct commute time so the technician is paid only for the drive time in excess of their normal commute to work.
Go to Settings > People > Payroll > Timesheet Codes to set up or edit timesheet codes. To deduct commute time, make sure to select Deduct commute time.
