Choose a QuickBooks sales tax tracking method Last updated on 03/22/2022

If you charge your customers sales tax, choose a method of tracking and exporting taxes so that you properly charge sales tax to your customers, pay the correct amounts to your tax vendors, and have tax data properly represented in your financial statements.

There are different ways to set up sales tax based on the sales tax needs of your company. Find which option best fits your needs.


Sales Tax by Tax Zone

To use this option, contact your success or implementation manager to configure your account.

This option allows you to generate totals for each of your sales tax rates. Totals for each sales tax zone will be represented in QuickBooks as line items. This option is a good fit if:

  • Your company works, or plans to work, in Washington state. You can also set up ServiceTitan to import the latest tax rates directly from the Washington State Department of Revenue (r to learn how).

  • Your company needs to keep track of different sales tax rates.

  • Your company does not plan to file and pay taxes directly from QuickBooks.

With additional account configuration, you can also track multiple sales tax rates within the same tax zone. For example, if your tax zone contains both state and county taxes, you will be able to track these taxes separately (in ServiceTitan and QuickBooks). Please contact your success or implementation manager to configure your account for multiple sales tax rates.

Basic Sales Tax

This is ServiceTitan’s default configuration for sales tax tracking. Sales tax will be calculated in and then exported to QuickBooks. This option is a good fit if:

  • Your company does not need to track and manage multiple sales tax rates.

  • Your company does not plan to file and pay taxes directly from QuickBooks.

  • Your company is new to QuickBooks or you are a first-time QuickBooks user.

Sales Tax for QuickBooks Desktop

To use this option, contact your success or implementation manager to configure your account.

Note: This option is available for QuickBooks Desktop only.

In this option, is used to calculate sales tax but it is not exported to QuickBooks. QuickBooks will be set up to calculate sales tax based on the sales tax rates assigned to your customers. This means you can directly file and pay your taxes from QuickBooks. This option is a good fit if:

  • Your company wants to track, pay, and file taxes directly from QuickBooks.

  • Your company needs to track and manage multiple complex sales tax rates.

  • Your company has experience using QuickBooks.
