Bulk set reporting permissionsLast updated on 09/09/2022

You can bulk set reporting permissions for your team in a spreadsheet and import the file back into ServiceTitan, making managing reporting permissions for a large team quick and efficient.


Things to know

  • Reporting permissions are managed separately from office employee permissions.

  • To access built-in reports—reports included with ServiceTitan—you need reporting permissions enabled for:

    • The custom report template the report is based on

    • The reporting category of the report

  • To view a custom report, you must also have sharing access to that custom report. Access to a custom report is managed by the report’s creator.

  • You can also set reporting permissions by individual or company role.


Export reporting permissions

You can export your team’s reporting permissions to an XLSX file for bulk editing. To export your reporting permissions:

  1. Go to the navigation bar and click Settings settings.png.

  2. From the side menu, go to Tools > Import / Export Data.

  3. Click the Export tab.

  4. Click the Export Type dropdown and select User Permissions.

  5. Click Export.

An XLSX file of your team’s permissions downloads to your computer.


Edit reporting template permissions

You can allow access to reports by custom report template. For example, if you only want certain office employees to view and run timesheets reports, you can control access to the Timesheets report template. All reports based on the Timesheets template can only be viewed and edited by those with this permission enabled.

To set access to reports based on custom report templates:

  1. Open the exported XLSX permissions file in a spreadsheet application.

  2. Click the Reporting Templates tab.

    The sheet displays your office employees, their company role, and which view and edit report permissions are enabled as indicated by an X.

    • View permissions allow employees to view and run reports based on that report template.

    • Edit permissions allow employees to create, edit, view, and run reports based on that report template.

  3. Set view and edit permissions for report templates for individual employees:

    • Enter an X for a report template to enable a permission.

    • Delete an X for a report template to disable a permission.

  4. When you’re done, save the spreadsheet as an XLSX file and import the file into ServiceTitan.


Edit reporting category permissions

You can allow access to reports by report category. When you go to Reports > All Reports, reports are organized by category. You can control access to certain categories to protect sensitive data.

To set access to reports based on reporting category:

  1. Open the exported XLSX permissions file in a spreadsheet application.

  2. Click the Reporting Categories tab.

    The sheet displays your office employees, their company role, and which view and edit report permissions are enabled as indicated by an X.

    • View permissions allow employees to view and run reports within that category.

    • Edit permissions allow employees to create, edit, view, and run reports within that category.

  3. Set view and edit permissions for report categories for individual employees:

    • Enter an X for a category to enable a permission.

    • Delete an X for a category to disable a permission.

  4. When you’re done, save the spreadsheet as an XLSX file and import the file into ServiceTitan.


Edit business unit reporting permissions

Note: Account configuration is required to use this feature. Please contact Technical Support for details.

You can control access so only office employees with the proper permissions can report on specific business units (BUs). If they don’t have permissions enabled for a BU, their reports won’t include data for that BU. For more on BUs, see Add and edit business units.

To set reporting permissions for BUs:

  1. Open the exported XLSX permissions file in a spreadsheet application.

  2. Click the Reporting BusinessUnits tab.

    The sheet displays your office employees, their company role, and which BU permissions are enabled as indicated by an X.

  3. Set view and permissions for BUs for individual employees:

    • Enter an X for a BU to enable a permission.

    • Delete an X for a BU to disable a permission.

  4. When you’re done, save the spreadsheet as an XLSX file and import the file into ServiceTitan.


Import reporting permissions

When you’re done editing your exported report permissions spreadsheet, save it as an XLSX file. To import your reporting permissions:

  1. Go to the navigation bar and click Settings settings.png.

  2. From the side panel, go to Tools > Import / Export Data. The Import tab opens.

  3. Click the Data File Type dropdown and select User Permissions.

  4. Click Upload.

  5. Select the XSLX file you want to upload.

  6. After the file uploads, click Import.

A notification displays indicating that the file uploaded successfully.
