Technician Location Exception reportLast updated on 03/22/2022

Run the Technician Location Exception report to see GPS location details of your technicians’ timesheet events. Use the report to validate timesheets when your technicians are based out of the office.


Things to know

  • The Technician Location Exception report is based on the Timesheets custom report template with the technician geolocation columns enabled.

  • The report results include the GPS coordinates where the technician clocked in and out of a time clock event as well as their distance from the service location when dispatched on a job.

  • Make sure you have enabled native GPS for technician tracking on your technicians’ mobile devices.

  • GPS is accurate within 3-10 meters. If GPS is unavailable, cellular triangulation is used which is accurate within 500 meters, or about 1/3 of a mile.


Run report

Before running your report, set filters to get the most relevant information for your needs:

  1. Go to the navigation bar and click Reports. In the side menu, click All Reports.

  2. Click Technician Location Exception Report to open it. Tip: In the search field, enter a few letters from the report title for quick access.

  1. Click the From - To field to set a range of dates to run the report on. You can:

    • Use the calendar to select a specific date range and click Apply.

    • Use the left menu to select a preset date range:

      • Today: From 12:00 AM to the current time

      • Yesterday: Previous day, from 12:00 AM to 11:59 PM

      • Last 7 Days: Previous seven days, including the current date

      • Last 14 Days: Previous 14 days, including the current date

      • Last 30 Days: Previous 30 days, including the current date

      • Month to Date: From the first of the current month to the current day

      • Last Month: Entire month before the current month. For example, if the date is February 5, the entire month of January.

      • Last 90 Days: Previous 90 days, including the current date

      • This Quarter: Current quarter, including future dates. For example, if the date is April 25, from April 1 - June 30.

      • Last Quarter: Entire quarter before the current quarter. For example, if the date is April 25, from January 1 - March 31.

      • Quarter to Date: From the first day of the current quarter to the current day

      • Year to Date: From January 1 of the current year to the current day

      • Last 365 Days: Previous 365 days, including the current date

  2. In the Business Unit dropdown, select the employee business units (BUs) you want to report on. Note: By default, the report runs for all BUs. You can filter your report by business units or business unit categories:

    • Click the Employee Business Unit dropdown to select individual BUs.

    • To report on BU categories, click Filter icon-filter.png, select the BU categories you want to include, and click Filter.

  3. From the Employees dropdown, select which employees you want to include in the report. Note: If you add BU filters, make sure the employees you select are in the filtered BUs.

  4. When you’re done setting your filters, click Run Report.


Read report results

Your report results display in a table based on the filters you set. By default, the report includes the following columns:

  • Name—Name of the employee

  • Timesheet Activity Date—Date of the timesheet event

  • Timesheet Activity—Timesheet event type

  • Start Time—Time the employee clocked into the event

  • End Time—Time the employee clocked out of the event

  • Duration (Decimal)—Duration in hours of the event

  • Start Coordinate—GPS coordinates at the start time of the eventNote: Click an entry to open a new tab showing the location in Google Maps.

  • End Coordinate—GPS coordinates at the end time of the event

  • Start Distance—Distance in meters from the job service location at the start time of the event

  • End Distance—Distance in meters from the job service location at the end time of the event


Filter for clock in distance exceptions

You can filter your report results for events when a technician taps Arrive for a job when they aren’t physically at the service location. You can use these events to coach your technicians on proper time clock management:

  1. In the header of the Timesheet Activity column, click the Filter icon. The Filter pop-up opens.

  2. Click the first dropdown and select Is one of.

  3. Click the next field and select Working from the dropdown.

  4. Click Filter.

  5. In the header of the Start Distance column, click the Filter icon.

  6. In the Filter pop-up, click the first dropdown and select Is greater than.

  7. In the next field, enter the distance from the job service location you want to filter for. For example, if you want to filter for all clock ins that occur more than a mile from the service location, enter 1,600 which, in meters, is almost a mile. Note: GPS is accurate within 3-10 meters. If GPS is unavailable, cellular triangulation is used which is accurate within 500 meters, or about 1/3 of a mile.

  8. Click Filter.

The report results update automatically.

You can also schedule the report to be delivered by email on a regular basis.
