Add or edit inventory items on an invoiceLast updated on 09/13/2022

You can add inventory items to a job from an invoice. You can also edit inventory items on an invoice both individually and in bulk.


Things to know

  • Technicians can add items even if it drops the available inventory items quantity below zero. This allows technicians to continue working and close jobs.

  • Office employees can add items to an invoice, however, they can’t add items to an invoice if there aren’t enough inventory items available.

  • An office employee can add items to invoices even if it drops the quantity of items below zero if the Enable Negative Quantity permission is selected in Settings > People > Employees. For more on enabling permissions, see Set permissions for an individual employee or technician.

  • When an equipment, material or task quantity on an invoice falls below zero in the selected inventory location, you will see an error message to update item quantity.

  • Items on the Purchase Order, Receipts, and Return pages are tagged as Serialized or Tracked:

    • Serialized—Serialized Inventory is enabled

    • Tracked—Inventory tracking is enabled

  • After an item is received, it is automatically added to an invoice with a $0 cost.


Add an inventory item to an invoice

  1. Open the invoice you want to add an item to.

  2. On the invoice record that opens, click Add a material or Add equipment. For example, click Add a material. The Add a Material page opens.

  3. In the Code field, enter and then select the item from the dropdown field.

  4. In the Quantity field, enter the quantity of an item that is required to be consumed.

  5. From the Inventory Location dropdown field, select the inventory location from which the item is used.

  6. When you’re finished, click Save.


Update an inventory item on an invoice

  1. Open the invoice you want to add an item to.

  2. On the invoice record that opens, select the item you want to update.

  3. Click the Edit Edit icon icon.

  4. On the Edit Material page that opens, update the quantity as needed.

  5. When you’re finished, click Save.


Update items in bulk on an invoice

  1. Open the invoice that includes the items that you want to edit.

  2. On the invoice record that opens, click Bulk Item Update.

    The Bulk Item Update page opens with the list of all items.

  3. Select the items you want to update.

    • Use the premade dropdown fields to update On Hold Date, Technician, and Inventory Location for the selected items.

    • Make all changes on the table one item at a time.

Note: If you want to update the quantity of the items, you should also update the Serial Number. For more information, see Edit the quantity of an item on an invoice.
