Add provider catalog items to your pricebook with Pricebook ConnectLast updated on 09/14/2022

Pricebook Connect lets you easily add items to your pricebook from Pricebook Pro, suppliers, and other integrated providers by mapping and syncing provider catalog information to your pricebook. Mapping your content to a provider’s catalog lets you stay current with future updates. For more information, see Update your pricebook with Pricebook Connect.


Things to know

  • To add a new provider catalog, contact Technical Support. For more information, see Available supplier catalog content integrations.

  • You can browse a new provider catalog before mapping your pricebook to it.

  • You can edit items after adding them to your pricebook.

  • Certain item fields that are managed by an integrated supplier, such as name and code, may be locked and cannot be updated.


Map and sync provider catalog content to your pricebook

Pricebook Connect compares the equipment and materials in your pricebook to an integrated provider’s catalog. It looks for matching item names, model numbers, and part numbers. After matching is finished, you see a list of potential item matches sorted in order of match confidence. You use the list to map your pricebook items with the provider catalog items choosing which item details you want in your pricebook.

After you complete this initial mapping, you’re notified on the Pricebook Connect Updates screen when the provider updates their catalog. You can select which updates to add to your pricebook. For more information, see Update your pricebook with Pricebook Connect.

Mapping your provider’s catalog content to your pricebook involves three steps:

Step 1: Match pricebook to provider catalog

Before you begin the mapping process, ensure that the integration and initial sync between your ServiceTitan account and the supplier account is complete. The mapping process starts with matching the items in your pricebook to the items in your provider’s catalog.

To start the mapping process:

  1. Go to the navigation bar and click Pricebook.

  2. In the side menu, click Catalogs.

  3. On the Catalogs screen, hover over the vendor you want to map your pricebook to; click More ⠇ and select Map to provider.

  4. Click Begin Matching.ServiceTitan looks for matches between items in your pricebook and the provider catalog. This can take a few minutes. When matching completes, the Select Items to Map screen opens with matches found for equipment and materials.

    Tip: Click Close icon-close.pngin the top right to exit out of mapping.

  5. Click the Equipment or Materials tab to see the matches. The first column, Your Pricebook, shows all items in your pricebook by Name & Model Number (for equipment) or Name and Part Number (for materials). The second column, Match in Provider Catalog, shows the provider catalog items that ServiceTtian attempted to match to.

  6. If you want to export the matching results to an XLSX file so that you can work offline to look up items, click Export Matches. Note: This exported file cannot be imported.

  7. Use the search field to search your pricebook by code, name, or part number. For equipment, you can also search by model number. Tip: To filter the list of items, click Filters. You can filter by cost, category, match confidence, and other details like include or exclude items already mapped. After setting your filters, click Apply.

  8. View the Match column to see the level of confidence that the item in your pricebook matches the item in the provider’s catalog.

    Tip: To sort items in by match strength, click More ⠇and select Sort ascending or Sort descending.

  9. To see a more granular comparison of actual field matches, click Show Details at the end of a row. At this level, you can select individual fields to map. For more information, see Select specific fields of a pricebook item to map.

  10. Go to Step 2: Select items in your pricebook to map.

Step 2: Select items in your pricebook to map

After ServiceTitan matches the items in your pricebook with a provider catalog, select your equipment and materials that you want to sync or map to your provider’s catalog.

Note: You don’t need to complete mapping all at once. You can map your high-match items to get started and then come back later and select specific fields to map for low-match items.

Choose one or more of the following ways to select pricebook items to map:

  • Select pricebook items to map

  • Select specific fields of a pricebook item to map

  • Map a pricebook item to a different provider catalog item

  • Bulk select multiple fields for multiple items

Select pricebook items to map
  1. Select one or more items in your pricebook to map to the provider catalog. Note: Selecting a pricebook item maps all the fields of an item.

    Tip: The number of items selected to be mapped displays at the bottom of the screen.

  2. If you're finished selecting items to map, go to Finalize mapping.

Select specific fields of a pricebook item to map

If you don’t want to map all pricebook item fields, you can select specific fields to map.

  1. Find a pricebook item that you want to map and click Show Details.

  2. Select the fields that you want to map.

  3. Click Hide Details when you’re finished.

  4. If you're finished selecting items to map, go to Finalize mapping.

Map a pricebook item to a different provider catalog item

If a suggested match is incorrect, you can map a pricebook item to another provider catalog item if there’s a better match.

  1. Hover over a provider catalog item that you want to map to a different entry in the catalog, and click the Map to a different item icon.

  2. In the the Map to different item screen, use the Search field to search the provider catalog for the item that you want to match to. You can enter the name, dimensions, part number, or description of the catalog item—the search results populate as you type.

  3. Click a search result to see more details and verify that it’s the item you want to map to. All field rows are selected by default.

    Note: If it’s not the right item, click Back to All Results to continue searching.

  4. Select the fields you want to sync to your pricebook or, if you want to map all fields, go to the next step.

  5. Click Map To Item to sync this item to the provider catalog. Note: If you decide not to map the item, click the Revert to original icon.

  6. If you're finished selecting items to map, go to Finalize mapping.

Use Bulk Select to select multiple fields for multiple items

Bulk Select lets you make multiple field selections at once for high, medium, and low matches instead of clicking through dozens or even hundreds of different items to make mapping selections.

If you review a handful of high-match items by clicking Show Details and determining that they are the correct items to map, you can bulk select one or more fields for mapping. For example, if you have 125 high-match items, you can bulk select certain fields for mapping—like name, part number, and images—for all 125 items.

To bulk select items:

  1. On the Select Items to Map screen, click Bulk Select.

  2. Click the Equipment or Materials tab.

  3. Select the fields that you want to map for high, medium, and low match items.

  4. Click Apply.The number of items to be mapped displays at the bottom of the screen.

  5. If you're finished selecting items to map, go to Finalize mapping.

Step 3: Finalize mapping

Before finalizing mapping, make sure that your selections are accurate because you cannot undo this action. Note: If you run out of time, you can map what you’ve already selected. You can always come back and re-run this entire process continuing where you left off.

  1. When you’re finished selecting your pricebook items to map, click Map.

  2. On the Confirm Mapping popup, click Map.

    ServiceTitan syncs your selections with your provider’s catalog. When the mapping is finished, a notification shows how many items were mapped and how many were not mapped.

    After mapping content from a provider catalog to your pricebook, you can browse provider catalogs and add items to your pricebook on the Pricebook Connect Catalogs screen.


Browse provider catalogs and add items to your pricebook

You can browse provider catalogs that have been added to your account and add items directly to your pricebook. New catalog items are labeled with a New tag. Note: Make sure to map your pricebook to a catalog first to avoid adding duplicate items to your pricebook.

Browse a provider catalog
  1. In the navigation bar, click Pricebook.

  2. In the side menu, click Catalogs. The Catalogs screen opens.

    Tip: Collapse the Pricebook side menu for more screen area to view the item table.

  3. Click the catalog you want to browse.

  4. Click a category to browse items or subcategories, or use the search bar to search the catalog by item name or code. Tip: The number of items in each category displays next to the name. The number of new items are highlighted.

  5. When viewing items, click Show Details to open a pop-up with additional information and images.

Some catalog items may be tagged:

  • Added—Item is already in your pricebook.

  • New—Item was added to the catalog within the past 60 days.

  • Update—Item has updated provider information.

Add catalog items to your pricebook
  1. Select the items you want to add to your pricebook:

    • Click an item to select it. A checkmark displays for selected items.

    • Hover over a category and click the checkmark in the upper left corner to select all items in that category.

      Note: When some—but not all—items within a category are selected, the partially-selected icon appears in the left corner.

    • Click Select All to select all items or categories displayed.

    The total number of selected items displays at the bottom of the screen. Tip: If you browse to a different category, any selected items remain selected. Click Clear All Selections to start over.

  2. When you’re finished, click Add to Pricebook.

    After the items are added to your pricebook, you receive a notification at the top of the screen.
