The integration matches ServiceTitan customer payments to their corresponding NetSuite transactions and records processing fees on the NetSuite Deposit. This saves administrators and accountants from re-entering deposit data by hand in both systems. --- ### #### Who uses this feature - Administrators, office employees, managers, accountants, and bookkeepers - Applies to all business types - Applies to all trades #### Feature configuration - Bank Deposit Sync requires the **Document Transactions** AR sync option. Confirm your tenant uses this option before you enable Bank Deposit Sync. - Bank Deposit Sync is disabled by default. To enable it, go to **Settings > Payment Collections** and select **Enable Deposit Workflow**. - Additional setup is required on the *ServiceTitan Tenant* record in NetSuite. For more, see [Enable Bank Deposit Sync](/docs/sync-servicetitan-bank-deposits-to-netsuite#enable-bank-deposit-sync) below. ## Things to know - ServiceTitan bank deposits sync as native NetSuite Deposit records. - Bank Deposit Sync only works when AR Sync is set to **Document Transactions**. - Deposits dated before the configured **Deposit Cutoff Date** are ignored. - Customer payments must sync to NetSuite before they can be included in a synced deposit. - Processing fees are added to the Deposit as negative cashback lines. - You can configure **Location**, **Class**, **Department**, and supported custom segments separately for the Deposit header and for processing fee lines. - Deposits that contain ServiceTitan refund lines aren't currently supported and require manual handling. ## Best practices - Resolve any customer payment sync error before you retry a deposit sync. A deposit can't include a payment that hasn't synced to NetSuite yet. - Map every bank account you use for deposits to exactly one NetSuite subsidiary. This prevents errors on fee-only deposits. - Configure **Location**, **Class**, and **Department** defaults for any segment your NetSuite account requires. An unmapped required segment puts the deposit into an error status. ## Use cases - An accountant reconciles ServiceTitan bank deposits against NetSuite by reviewing matched customer payments and processing fees on the synced Deposit record. - A bookkeeper opens a synced NetSuite Deposit and clicks **View in ServiceTitan** to confirm it against the original ServiceTitan deposit. ## Enable Bank Deposit Sync Configure Bank Deposit Sync on the *ServiceTitan Tenant* record in NetSuite: 1. On the *ServiceTitan Tenant* record, set **AR Sync** to **Document Transactions**. Bank Deposit Sync only works with AR Document Transactions. 2. Select **Deposit Sync**. 3. Enter a **Deposit Cutoff Date**. The sync ignores deposits dated before this date. ![ServiceTitan settings page showing deposit cutoff date and sync options for transactions.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/netsuite-enable-bank-deposits.png) ## Configure Bank Deposit Segment Mapping After you enable Bank Deposit Sync, configure which NetSuite segments apply to Deposit records and to processing fee lines: 1. From the *ServiceTitan Tenant* record or the *Business Unit Mapping* screen, open **Bank Deposit Segment Mapping**. 2. For each mapped subsidiary, review the *Deposit Header* row and the *Processing Fee* row. 3. On the *Deposit Header* row, set the **Location**, **Class**, and **Department** values applied to the NetSuite Deposit record. Configure any supported custom segments here too. 4. On the *Processing Fee* row, set the **Location**, **Class**, and **Department** values applied to processing fee (cashback) lines. > [!NOTE] > **Note:** NetSuite doesn't support custom segments on the Deposit cashback sublist, so custom segments aren't available on the *Processing Fee* row. 5. When finished, click **Save**. > [!NOTE] > **Note:** Segment mappings are optional unless your NetSuite account requires that segment. If a required segment has no default configured, the affected deposit enters an error status. Other deposits in the same sync run continue processing. ![Bank deposit segment defaults table showing subsidiaries, departments, and locations for processing fees.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/netsuite-deposit-header-processing-fee.png) ## Understand Bank Deposit Sync behavior When an eligible ServiceTitan bank deposit is retrieved, the integration creates a native NetSuite Deposit record. ### Customer payments - Customer payments included in the ServiceTitan deposit are matched to the corresponding NetSuite transactions and added to the Deposit's *Payment* sublist. - A customer payment must already have synced to NetSuite before its deposit can sync. ### Processing fees - ServiceTitan processing fees are added to the NetSuite Deposit as negative cashback lines. - The integration applies the **Location**, **Class**, and **Department** values configured on the *Processing Fee* row of *Bank Deposit Segment Mapping*. - Because processing fees aren't tied to a business unit, you configure these values separately from your business unit segment mappings. ### How the subsidiary is determined - For deposits with matched payment transactions, the integration determines the subsidiary from those transactions. - For a fee-only deposit, the integration determines the subsidiary from the mapped NetSuite bank account. That bank account must map to exactly one subsidiary. ### Refunds in bank deposits Bank Deposit Sync doesn't currently support ServiceTitan refund lines. If a deposit contains a refund line, the integration can't add that transaction to the NetSuite Deposit, and the deposit enters an error status. Handle these deposits manually. ## View a ServiceTitan deposit from NetSuite 1. After a deposit syncs successfully, open the native Deposit record in NetSuite. 2. Click **View in ServiceTitan** to open the corresponding deposit in ServiceTitan. ## Troubleshoot Bank Deposit Sync ### Transactions not found on the NetSuite deposit If you see the error *X transaction(s) not found on the NetSuite deposit*, one or more transactions in the ServiceTitan deposit couldn't be matched to a supported NetSuite transaction. The error lists the affected transactions by ServiceTitan ID. This can happen when: - A customer payment hasn't synced to NetSuite yet. - A required transaction isn't available for matching. - The deposit contains a ServiceTitan refund. If a payment hasn't synced, resolve the payment sync error first, then retry the deposit. If the transaction is a refund, handle the deposit manually. ### Required segment is missing If a deposit fails because a required **Location**, **Class**, **Department**, or other supported segment isn't configured: 1. Go to **Bank Deposit Segment Mapping**. 2. Configure the required segment for the affected subsidiary. 3. Click **Save**, then retry the deposit. ### Subsidiary can't be determined for a fee-only deposit For a fee-only deposit, confirm the NetSuite bank account maps to exactly one subsidiary. Update the bank account mapping, then retry the deposit. ### Bank account alignment isn't unique For a fee-only deposit, the deposit enters an error status if the bank account doesn't map to a subsidiary, or maps to more than one. Correct the bank account mapping, then retry the deposit. ## Want to learn more? - See [Sync option: Document-based AR transactions](/v1/docs/sync-option-document-based-transaction-to-transaction-1) - See [Understand data mapping in NetSuite](/v1/docs/understand-data-mapping-in-netsuite-1) - See [How to navigate NetSuite](/v1/docs/how-to-navigate-netsuite) - See [NetSuite Onboarding Part 4: Configure sync settings](/v1/docs/netsuite-onboarding-part-4-configure-sync-settings-1)
