Overview

This report provides a summary of customers who have outstanding balances with aging information.

Common uses for this report

  • Use this report to identify the customers whose payments are past due.

How to find this report

  1. Click Reports in the main navigation menu.

  2. On the Reports screen that opens, click Legacy Reports.

  3. In the Search field, search for Accounts Receivable Summary.

  4. Click the report name. Then you will be able to set filters and run the report.

Business unit

Filter by business unit. This report can be run by a single business unit or all business units.

Status

Filter by status. This report can be run by posted, exported, or all invoices.

Ignored Deposits

Select the checkbox to ignore deposits.

Include pinned customer notes

Select the checkbox to ignore pinned customer notes.

View or download the report

Click Update to view the report.

Button labeled 'Update' for submitting changes or updates in a user interface.

The report can be downloaded in three different formats:

  • Export to Excel (.xlsx) (click the dropdown arrow next to Download PDF)

  • Export to Comma separated (.csv) (click the dropdown arrow next to Download PDF)

  • Export to Excel (Allow Long-Running) (click the dropdown arrow next to Download PDF)

You can print statements by location from the report. Click Print Statements to view the statements.

Explanation of report columns

Customer balances and phone numbers displayed in a financial report table.

The report includes the following columns:

Column

Description

Customer

The Bill To customer name on the invoice.                    

Phones

The Bill To customer phone number on the invoice.                

Balance

The outstanding balance for a customer.                  

< = 30

Outstanding balance for less than or equal to 30 days.

31-60

Outstanding balance for 31 to 60 days .

61-90

Outstanding balance for 61 to 90 days.  

91-120

Outstanding balance for 91-120 days

> 120

Outstanding balance for greater than 120 days.

Totals

Description

Balance

Balance is calculated by taking the sum of the entire column.

Currrent

Current is calculated by taking the sum of all Current outstanding balances.

Passed 30

Passed 30 is calculated by taking the sum of all Passed 30 outstanding balances.

Passed 60

Passed 60 is calculated by taking the sum of all Passed 60 outstanding balances.

Passed 90

Passed 90 is calculated by taking the sum of all Passed 90 outstanding balances.

Passed 120

Passed 120 is calculated by taking the sum of  all Passed 120 outstanding balances.

Inaccurate customer balance

If you are seeing an incorrect customer balance, it might be due to the following:

  • The invoice that should have a balance is tied to a job that is not yet completed so the invoice does not have a date

  • The adjustment invoices that decrease the customer balance might not have a date due to due to a feature being turned off

  • The Status filter might be set to Posted & Exported while some invoices might be in Pending status
