You can create and track your POs throughout its life cycle. This includes the creation of a PO, sending it to the vendor, receiving the shipment, and recording the vendor invoice. --- ### [Create purchase orders Video](https://fast.wistia.net/embed/iframe/fk5lt4afta?web_component=true&seo=true&videoFoam=false) #### Who uses this feature - Managers and office employees - Applies to all business types #### Feature configuration - Account configuration is required to use this feature. Please contact [Technical Support](http://go.servicetitan.com/ask) for details. ## Things to know - If you only have the *Purchasing* module enabled, the **Inventory** section in the navigation bar is renamed **Purchasing**. - After a PO is created, you can see who created the transaction to help track the creator for reconciliation or discrepancies. You can also sort the *Purchase Order* table by the *Created By* field to help you quickly find transactions. - Serialized inventory entails creating a PO. For more information, see [Serialized Inventory](/v1/docs/serialized-inventory-home). POs can be marked as not auto-received or auto-received. POs with serialized items that are not auto-received are marked received when the item is received. For non-auto-received serialized items, see [Receive a shipment](/construction/docs/receive-shipment). Auto-received serialized items are marked received when the PO is created, rather than when the item is received. - Line items support values up to nearly $10 trillion, which allows you to process large transactions. - If you create a purchase order from a project, the purchase order's business unit must match one of the project's assigned business units, if it has any. - When adding unlinked items to your purchase orders, ServiceTitan will help you correctly map them to vendor part numbers, reducing purchase order errors. For more, see [Link pricebook items to vendor's catalog when creating purchase orders](/construction/docs/link-pricebook-items-to-a-vendor-s-catalog-when-creating-purchase-orders). - If you want to have the PO number set according to consecutive numbers, please contact [Technical Support](http://go.servicetitan.com/ask). - If the invoice includes materials or equipment, you cannot create a purchase order (PO) unless a technician is assigned to the job or the technician has added the item to the invoice. ## Create a purchase order from the Inventory screen 1. Enable the *Create purchase order* permission in **Settings > Permissions** and use the Purchase Order (PO) document for your vendors as a request to purchase the listed items. For more information on how to enable the permission and create a PO, see [Set permissions for an employee or technician role](/construction/docs/set-permissions-for-an-employee-or-technician-role) and [Create purchase orders](/construction/docs/create-purchase-orders-2). #### How can I ensure that job numbers are accurately reflected on replenishment purchase orders? 1. Open ServiceTitan on your computer. Make sure you are on the office side. 2. Go to the purchase orders section. 3. Find the PO you created from the mobile app. It should be the one missing the job number. 4. Click on the PO to open it. 5. Look for an "Actions" or "Edit" button. Click on it. 6. In the edit mode, find the field where you can add or link a job number. 7. Type in the job number that should be associated with this PO. 8. Save your changes. 9. Check the Excel file again to see if the job number now appears. #### How do I edit a PO number? You can't edit a PO number. However, you can create POs on the same job that will be numbered sequentially after the job number. For example, if you create Job #12345, making three POs on this job would create PO numbers 12345-001, 12345-002, and 12345-003. #### Can I add a column to the purchase order chart in Inventory > Purchase Orders? No, you can't. The columns are static and cannot be changed. #### How can I update invoice costs when vendor bill prices differ from the Pricebook without inventory enabled? - **For accurate invoice margin reporting:** Add the items to the invoice first, then [generate a PO](/construction/docs/create-purchase-orders-2) using the **Copy Invoice Items** button. When the PO is received and the bill is created, the original invoice costs will be zeroed out so the final cost comes directly from the bill. - **For updating the Pricebook:** Disable the **Automatically create bill when PO is received** option in **Settings > Inventory** or **Purchasing >** [Configuration](/construction/docs/set-up-purchasing-configurations-2). Then, manually create the bill. This gives you the option to adjust item costs and update the Pricebook. ## Want to learn more? - See [Send purchase orders to vendors](/v1/docs/send-purchase-orders-to-vendors)
