Please contact the account administrator on your team. ## Things to know - You can set the **Proposed Start Date** to a past date. This allows you to accurately account for agreements that were sold outside of ServiceTitan or backdate agreements to the first of the month for easier reporting and renewal management purposes. - You can add a visit to a service agreement even after it's activated. If the agreement uses *Deferred revenue*, the system will adjust revenue recognition accordingly. If it's set to *time of service*, the additional visit will be included in the job invoice calculation. - If needed, you can create a service agreement with no visits. This is helpful for agreements that bill on a recurring schedule without any planned on-site work, such as remote monitoring. For more, see [Visit-less agreements](/construction/docs/create-a-service-agreement-step-4-scope-of-work#visitless-agreements) below. ## Scope of work After completing [Step 3: Equipment](/construction/docs/create-a-service-agreement-step-3-equipment), follow these steps to complete the setup for the scope of work: 1. Enter the **Duration** of the agreement in units of months or years. 2. Select **Enable auto-renew** to have ServiceTitan automatically renew the agreement. 3. Select the service agreement's **Proposed Start Date**. ![Form fields for duration, auto-renew option, and proposed start date selection.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/create-a-service-agreement-step-4-scope-of-work-image-m5jbxa4m.png?sv=2026-02-06&spr=https&st=2026-10-31T02%3A38%3A35Z&se=2026-10-31T03%3A38%3A35Z&sr=c&sp=r&sig=gKAgwVcrdvRzInlZ%2BXHf9cGC5EM92qcDYlKhStq3icg%3D) 4. Click **Continue**. 5. In the **Scope of Work** screen that opens, click **+Add Visit**. > [!NOTE] > **Note:** Adding a visit is optional. See [Visit-less agreements](/construction/docs/create-a-service-agreement-step-4-scope-of-work#visitless-agreements) below if you don't plan to add any visits to this agreement. ![Scope of work showing visit details](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/create-a-service-agreement-step-4-scope-of-work-image-5886fkze.png?sv=2026-02-06&spr=https&st=2026-10-31T02%3A38%3A35Z&se=2026-10-31T03%3A38%3A35Z&sr=c&sp=r&sig=gKAgwVcrdvRzInlZ%2BXHf9cGC5EM92qcDYlKhStq3icg%3D) 6. To remove a visit, click **Remove** ![](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/icon-delete.png?sv=2026-02-06&spr=https&st=2026-10-31T02%3A38%3A35Z&se=2026-10-31T03%3A38%3A35Z&sr=c&sp=r&sig=gKAgwVcrdvRzInlZ%2BXHf9cGC5EM92qcDYlKhStq3icg%3D). 9. When finished, click **Continue to Next Step**. This takes you to [Step 5: Pricing](/construction/docs/create-a-service-agreement-step-5-pricing). ## Visit-less agreements You can create and activate a service agreement with no visits when all of the following are true: - The agreement's revenue recognition mode is *Straight-line* or *Immediate*. *Percent-complete* revenue recognition requires at least one visit. - The agreement does not use *Time of Service* billing. *Time of Service* billing requires at least one visit to generate invoices against. To create an agreement with no visits, simply skip the **+Add Visit step** above and continue to [*Step 5: Pricing*](/construction/docs/create-a-service-agreement-step-5-pricing). Markup and surcharge pricing is supported for visit-less agreements—cost estimates default to $0 since there are no visits to itemize. > [!NOTE] > **Note:** If an agreement has no visits and per-visit pricing is enabled, you won’t be able to activate it. You must either add visits or disable per-visit pricing. For more on editing the price of an active visit-less agreement, see [Manage service agreement billing and invoices](/construction/docs/manage-service-agreement-billing-and-invoices). You can add a visit to a visit-less agreement at any time after activation using the steps in this article, or convert an existing agreement to visit-less by deleting its last remaining visit (subject to the same revenue recognition and billing schedule restrictions above). For more on renewals and reporting behavior, see: - [Manage service agreements visits](/construction/docs/manage-service-agreements-visits) - [Report on service agreement profitability](/construction/docs/report-on-service-agreement-profitability) - [Manage service agreement materials](/construction/docs/manage-service-agreements-materials) ## Minimum spacing relationships If your account uses [minimum spacing](/construction/docs/clone-set-up-minimum-spacing-between-visit-templates), relationships between visit templates are added to the agreement automatically. When visits are generated, ServiceTitan moves a visit's window start date later if needed to keep the required spacing. The window's end date stays the same. If the spacing doesn't fit in a visit's window, the visit shows a violation flag. You can widen that visit's window or ignore the flag. The flag doesn't stop you from saving or activating the agreement. For more, see [Minimum spacing concepts](/construction/docs/clone-minimum-spacing-concepts). ## Visit Details Add the following details for the visit: - **Visit Name:** Enter the visit name. - **Visit Window:** Use the date picker to select a **Start Date** and **End Date**. > [!NOTE] > **Note:** If your account uses minimum spacing, any spacing effect of your change shows right away below the field. - **Recurring Visits:** Select **Do not Repeat** to make it a one-time visit or select **Repeat** to make the [visits recurring](/construction/docs/recurring-visit-details-for-service-agreements). > [!NOTE] > **Note:** If the visit is built from a visit template with a minimum spacing relationship, recurrence and visit window length are locked. - When finished, click **Apply**. ## Job Details Enter the following job details of the visit. This information will be used once the visit is booked into a job: - **Job Type:** Use the dropdown to select a **Job Type** for the visit. > [!NOTE] > **Note:** The Job Type is used when searching for jobs and reporting, and it automatically adds job-specific information when the visit is booked into a job. - **Business Unit:** Use the dropdown to select a business unit for the job the visit will be booked into. > [!NOTE] > **Note:** If this field is left blank, the Business Unit value will default to the service agreement's business unit. - **Marketing Campaign:** Select a marketing campaign. > [!NOTE] > **Note:** If the field is left blank, the Marketing Campaign value will default to the service agreement template's value. - **Priority:** Select the priority level for the job. Most will be Normal. - **Arrival Window:** Select the arrival window range from the dropdown. For more on arrival windows, see [Use arrival windows](/construction/docs/use-arrival-windows). - **Job Start Time:** Enter the Start Time for the job. - **Preferred Technician:** Assign a preferred technician or technicians that can be assigned to the job. ## Cost Estimates Enter your cost and labor estimates for the visit: - **Labor Hours:** Add the estimated hours required for the visit. Enable **Use calculated hours** to automatically calculate the labor hours based on the services you select in the *Services* table. > [!TIP] > **Tip:** We recommend enabling the Use calculated hours option. This calculation feature makes the cost estimation data-driven and makes it easier to update the estimates of renewal agreements when labor and material costs rise in the future. - **Labor Cost/Hour:** Add the labor cost per hour for the visit. > [!NOTE] > **Note:** Labor Cost/Visit is calculated automatically by Sold Hour/Visit * Labor Rate/Hour. - **Material Cost:** Add the cost of the materials needed for the visit. Enable **Use calculated cost** to automatically calculate the material cost based on the materials you add to the *Materials* table. ## Services Select the services that will be performed during the visit. You can itemize and add the services performed during a visit, instead of manually entering a labor cost estimate. This helps provide technicians with detailed instructions on tasks to perform during a visit. > [!NOTE] > **Note:** This is particularly helpful for large-scale maintenance visits that involve multiple technicians working on a job for several days. ## Materials The materials that will be used during the visit. You can add the materials that will be used during the visit. This creates more accurate material cost estimates and aggregates them in the new [Item Requisition](/construction/docs/create-and-manage-item-requisitions-2) tool to streamline the purchasing workflow, which helps technicians have the right materials before dispatching them to the job. For each *Material* row, you can edit the *Description* and *Unit Cost* to match what you'll actually use and pay for this visit. For example, a real vendor quote instead of the generic pricebook cost. *Total Cost* is calculated as *Quantity × Unit Cost* and isn't edited directly, and a unit cost of $0 is allowed. These edits are saved as visit-level overrides: they apply only to this visit, feed the *Use calculated cost material estimate*, and don't change your oricebook. > [!NOTE] > **Note:** If you change your mind and want to use what’s currently listed in the pricebook instead, you can click the **Update** button that appears in the *Updated Material Costs & Descriptions* message box. Your edited description and unit cost carry through the item requisition and purchasing workflow and onto the resulting invoice. If you remove a material and add it again, its description and unit cost reset to the pricebook defaults for that SKU. Duplicating a visit within the same agreement copies these overrides to the new visit. > [!TIP] > **Tip:** To provide technicians with clear instructions on a job for equipment installment, you need to associate the equipment with the services and materials that will be used for the job. ## Equipment Add the equipment that is worked on during the visit. This is automatically pulled from [Step 3: Equipment](/construction/docs/create-a-service-agreement-step-3-equipment). This equipment is automatically attached when the visit is booked into a job. > [!TIP] > **Tip:** Make sure to fill out as much detail for the visit as possible during this step. This information is pre-populated when booking the job, which saves you time and ensures the correct information is added to a job. This information is also available for the technician when viewing the job in the Technician Mobile App. We recommend turning on the following job booking settings: [Attach Equipment to job](/construction/docs/set-up-ability-to-attach-equipment-to-a-job) and [Edit End Time](/construction/docs/configure-fields-on-the-job-booking-screen). ## Task Summary The task summary is optional, enter a summary of the tasks performed during the visit. > [!NOTE] > **Note:** The summary is automatically added to the Job Summary field when the visit is booked into a job. ## Extra travel costs If the location is far, you can add an extra travel cost for each visit. Any extra travel costs are applied to each visit for that location and are included in the overall cost estimate for this agreement. To add extra travel costs: 1. Go to the location you want to add the *Extra Travel Cost / Visit* to and click **Edit** ![A simple icon in the shape of a pencil.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/icon-edit.png?sv=2026-02-06&spr=https&st=2026-10-31T02%3A38%3A35Z&se=2026-10-31T03%3A38%3A35Z&sr=c&sp=r&sig=gKAgwVcrdvRzInlZ%2BXHf9cGC5EM92qcDYlKhStq3icg%3D) at the top of the table. 2. On the screen that opens, enter the **Extra Travel Time** and the **Extra Travel Labor Rate**. > [!NOTE] > **Note:** The **Extra Travel Cost** is calculated automatically by the Extra Travel Time * Extra Travel Labor Rate. ![extra travel costs](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/create-a-service-agreement-step-4-scope-of-work-image-g0bdu3la.png?sv=2026-02-06&spr=https&st=2026-10-31T02%3A38%3A35Z&se=2026-10-31T03%3A38%3A35Z&sr=c&sp=r&sig=gKAgwVcrdvRzInlZ%2BXHf9cGC5EM92qcDYlKhStq3icg%3D) > [!TIP] > **Tip:** You can update any item by clicking **Edit** ![A simple icon in the shape of a pencil.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/icon-edit.png?sv=2026-02-06&spr=https&st=2026-10-31T02%3A38%3A35Z&se=2026-10-31T03%3A38%3A35Z&sr=c&sp=r&sig=gKAgwVcrdvRzInlZ%2BXHf9cGC5EM92qcDYlKhStq3icg%3D) at the end of the row in Step 4: Scope of Work. ## Want to learn more? - Visit ServiceTitan Academy and enroll in [Creating & Managing Service Agreements](https://servicetitan.docebosaas.com/academy/learn/courses/242/Creating-&-Managing-Service-Agreements) - See [Create a service agreement step 3: Equipment](/construction/docs/create-a-service-agreement-step-3-equipment) - See [Set up ability to attach equipment to a job](/construction/docs/set-up-ability-to-attach-equipment-to-a-job) - See [Configure fields on the job booking screen](/construction/docs/configure-fields-on-the-job-booking-screen) Deferred revenue is used in accrual accounting to manage advanced payment for upcoming services.
