Enable estimate deposits 2. Enable deposit workflow ## Step 1: Enable estimate deposits To enable estimate deposit: 1. Go to the top toolbar and click **Settings** ![A simple icon representing a settings gear.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/icon-gnav-settings-inactive.png?sv=2026-02-06&spr=https&st=2026-10-31T00%3A42%3A49Z&se=2026-10-31T01%3A42%3A49Z&sr=c&sp=r&sig=tZfx3Yqjp%2BoCSAbqzK5lw%2FfAvkIjpE592ORpeQ3kHQ0%3D). 2. In the side panel, click **Estimates > Estimate Deposit**. 3. Enter a percentage in the **Default deposit** field. ![Deposit settings show a default deposit percentage of 50% and payment required upon estimate signature.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/2026-10-21_17-20-48.png?sv=2026-02-06&spr=https&st=2026-10-31T00%3A42%3A49Z&se=2026-10-31T01%3A42%3A49Z&sr=c&sp=r&sig=tZfx3Yqjp%2BoCSAbqzK5lw%2FfAvkIjpE592ORpeQ3kHQ0%3D) 4. Under **Deposit Collection Rule**, select when your customer pays the deposit: - **Require deposit upon signature**: Customer must pay the deposit upon signing. - **Allow deposit payment later**: Customer can sign now and pay the deposit later. 5. Click **Apply**. The deposit amount is required on all estimates your customer accepts through online estimate links or the Customer Portal, unless you override it when you send the estimate. Existing accounts use Require deposit upon signature until you change the setting. You can change the setting at any time, and estimates you’ve already sent keep the behavior they were sent with. ## Step 2: Enable deposit workflow Enable the deposit workflow to ensure deposits are exported as accurate journal entries. When enabled, Payments not yet applied to an Invoice are treated as deposits—debiting Undeposited Funds and crediting the account you select. Once the deposit is applied to an invoice, the journal entry updates automatically to debit that account and credit Accounts Receivable. For more on enabling this workflow, see [Enable Deposit Workflow](/construction/docs/enable-deposit-workflow). ![Deposit workflow interface showing GL account selection and save options.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/collect-payment-in-online-estimates-image-xs8to5z5.png?sv=2026-02-06&spr=https&st=2026-10-31T00%3A42%3A49Z&se=2026-10-31T01%3A42%3A49Z&sr=c&sp=r&sig=tZfx3Yqjp%2BoCSAbqzK5lw%2FfAvkIjpE592ORpeQ3kHQ0%3D) ## Set deposits when you email an estimate When you send an online estimate by email, each estimate card on the Email Estimate screen includes deposit controls. You can use these controls to override the default deposit percentage for a specific estimate, or turn off the deposit requirement entirely. Each estimate card displays the following controls: - **Collect Deposit:** Controls whether the customer pays a deposit on this estimate. This toggle is on by default based on your default deposit setting. Turn it off if a deposit isn’t needed for this estimate. - **Deposit Amount:** Shows the deposit calculated from the default percentage. You can enter a new percentage in the **%** field, or click **$** to switch to a specific dollar amount. Changing one value automatically recalculates the other. The card also displays the estimate **Total** and the calculated **Deposit** amount. It also shows the estimate status, Open or Sold. ![Estimate email screen showing a selected water heater replacement with a 50 percent, $900 deposit.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/2026-10-22_13-00-45.png?sv=2026-02-06&spr=https&st=2026-10-31T00%3A42%3A49Z&se=2026-10-31T01%3A42%3A49Z&sr=c&sp=r&sig=tZfx3Yqjp%2BoCSAbqzK5lw%2FfAvkIjpE592ORpeQ3kHQ0%3D) ### Update deposits on individual estimates 1. A screen confirms that nothing is charged today. The estimate shows as **Accepted** with a **Pay Deposit** button. When your customer is ready to pay: 1. On the online estimate, they click **Pay Deposit** on the accepted estimate. They can also click **View** to open the estimate PDF view, then click **Pay Deposit** there. 2. They enter their payment information and complete the payment. A confirmation screen shows the amount paid, a confirmation number and the remaining balance. The deposit then shows as paid. ServiceTitan records the deposit on the Customer Record and doesn’t create a new invoice. ## See estimate and deposit status on the customer record On the customer record, the opportunities and estimates table shows two columns next to the total: **Estimate Status**, such as Open, Sent or Sold, and **Deposit Status**, Paid or Unpaid. You can filter the table by either column to see which estimates still need a deposit without opening each one. ![Estimate table grouped by opportunity number, showing sold roofing projects, unpaid deposits, amounts, dates, and assigned sellers.](https://cdn.document360.io/961862ab-d0f2-4d91-bb62-a62ee8184eff/Images/Documentation/image(434).png?sv=2026-02-06&spr=https&st=2026-10-31T00%3A42%3A49Z&se=2026-10-31T01%3A42%3A49Z&sr=c&sp=r&sig=tZfx3Yqjp%2BoCSAbqzK5lw%2FfAvkIjpE592ORpeQ3kHQ0%3D) ## Want to learn more? - Visit ServiceTitan Academy and enroll in [Customer Portal Basics](https://servicetitan.docebosaas.com/academy/learn/course/215) - See [Use Online Estimates](/construction/docs/use-online-estimates) - See [Customer Portal overview](/construction/docs/customer-portal-overview) A self-service web portal where customers can view job history, request service, make payments, and communicate with the business. **What it does:** Reduces inbound call volume and improves customer satisfaction by giving homeowners 24/7 access to their service records. **Also called:** Customer self-service, Online portal **Tags:** Core [See the full glossary →](https://help.servicetitan.com/docs/glossary-overview) A formal price quote presented to a customer before work begins, created from Pricebook items in ServiceTitan. **What it does:** Gives customers a transparent breakdown of costs and enables the business to track conversion from estimate to sold job. **Also called:** Quote, Proposal **Tags:** Core [See the full glossary →](https://help.servicetitan.com/docs/glossary-overview) Integrated payment processing within ServiceTitan for collecting credit card, ACH, and financing payments in the field or office. **What it does:** Eliminates third-party payment friction by letting techs collect payment on-site via the mobile app, with funds deposited directly. **Also called:** In-app payments, Field payments **Tags:** Core [See the full glossary →](https://help.servicetitan.com/docs/glossary-overview) **a.k.a.** ServiceTitan Payments The finalized billing document sent to a customer after work is completed, generated from job records in ServiceTitan. **What it does:** Records all work performed and charges for accurate payment collection, financial reporting, and accounting integration. **Also called:** Bill, Work order invoice **Tags:** Core [See the full glossary →](https://help.servicetitan.com/docs/glossary-overview) A sales tech sells an estimate. -or- A service, maintenance, or install tech sells an estimate. -or- A CSR sells an estimate over the phone.
