Who uses this feature

Things to know

  • This feature is only available during onboarding. Once you go live with ServiceTitan, you can no longer access this feature

  • Entering your employee and technician information in bulk is only available during onboarding. Once your company goes live with ServiceTitan, you can only create profiles one by one. 

  • Make sure to enter an office phone number for your office employees and not their mobile phone number. An office phone number is the direct dial number to reach office employees at their desks. If you don’t have a direct office number for each employee, you can enter your main company phone number. 

  • Make sure to enter a mobile phone number for your technicians. ServiceTitan uses the mobile number to send notifications to the technician. If a technician doesn’t have a mobile number, we use their email address instead.

Add your office employees

  1. Go to the top toolbar and click Settings .

  2. In the side panel, go to People > Employees

  3. On the Employees screen that opens, click Bulk Add.

  4. On the Bulk Add Employee screen that opens, enter basic details about the employee.

    1. Office Employee Name: Name of the employee. This is used across ServiceTitan and in reports.

    2. Email: Email address of the employee. This is used for verification purposes and to send reports. This address must be unique to the employee and cannot be used with another employee profile.

    3. Office Phone Number: The actual phone number the employee uses to place and receive calls while working.
      Note: When the employee places a customer call through ServiceTitan, this is the number dialed to connect the call to the employee. Do not use a tracking number.

    4. Company Position: Positions are used to customize notifications and training programs. Select up to 5 positions that reflect the employee’s duties.

    5. Permission Role: Role of the employee. This is used to set their default permissions.

  5. Click Add Employee to add a new line where you can enter basic details about another office employee.

  6. When you’re done, click Add Employees to save your progress and come back later if needed.

Add your technicians

  1. Go to the top toolbar and click Settings .

  2. In the side panel, go to People > Technicians

  3. On the Technicians screen that opens, click Bulk Add.

  4. On the Bulk Add Technicians screen that opens, enter basic details about the technicians. Use the Managed Technicians section for your managed technicians, the Managed Installers section for your managed installers, and the Non-Managed Technicians section for your non-managed technicians. 

    1. Technician Name: Name of the technician used across ServiceTitan and in customer communications.

    2. Email: Email address of the technician. This is used for verification purposes and to send reports. This address must be unique to the technician and cannot be used with another technician's profile.

    3. Mobile Number: The mobile phone number of the technician used for verification purposes and communications. This number must be unique to the technician and cannot be used with another technician's profile.
      Note: A technician profile must include a unique mobile phone number or email address.

    4. Company Position: Positions are used to customize notifications and training programs. Select up to 5 positions that reflect the technician’s duties.

    5. Permission Role: Role of the technician. This is used to set their default permissions.

  5. Click Add Managed Technician to add a new line where you can enter basic details about another managed technician. Click Add Managed Installer to add a new line where you can enter basic details about another managed installer. Click Add Non-Managed Technician to add a new line where you can enter basic details about another non-managed technician.

  6. When you’re done, click Add Technicians to save your progress and come back later if needed.
