Can't add materials to an adjustment invoice for an inactive technician

What you're seeing

When you try to add a task with materials or equipment to an adjustment invoice for an inactive technician, you get an error like:

“Action Canceled: Cannot create UsedMaterial for invoice item (Id: [invoice item ID]) with Material [material name]. Technician [name] is not currently assigned to a truck. Please assign Technician to a truck before adding materials/equipments.”

Why this happens

There is 1 common reason.

Reason 1

An inactive technician has no truck, so there's no inventory location to draw from.

Materials and equipment on an invoice are recorded against an inventory location, and a technician's truck serves as that location. An inactive technician isn't assigned to a truck, so ServiceTitan has no inventory location to draw the used materials or equipment from, and it blocks adding them to the invoice.

Before you start

You need the Activate/deactivate employees permission to activate and deactivate technicians.

Caution: Reactivating a technician may incur additional costs. Contact your Customer Success Manager (CSM) before you start to confirm any costs, and reactivate and deactivate the technician as quickly as possible to keep costs to a minimum.

How to fix it

1Temporarily reactivate the technician

Reactivate the technician, create the adjustment invoice, then deactivate the technician again.

  1. Go to Settings > People > Technician.

  2. Include inactive technicians in the active filter.

  3. Search for the technician by name and click Edit.

  4. Click Profile Actions and select Activate technician to reactivate them temporarily.

  5. Create a new adjustment invoice and add the necessary task.

  6. Export the invoice.

  7. Return to the technician and click Deactivate technician.

Note: Reactivate and deactivate the technician as quickly as possible to minimize any additional costs. Check with your CSM about costs before reactivating.

✓ Done · The task and its materials are added to the adjustment invoice, and the technician is set back to inactive.
